Mental health in the workplace is a key concern for modern companies. To address this issue, Pro Mente Sana has launched the Ensa programme in Switzerland. 

Inspired by the Australian "Mental Health First Aid" programme, Ensa has been offering mental health first aid courses since 2019. The aim is to empower non-experts to provide early support. The foundation, supported by the Beisheim Foundation, trains first aiders to support people in their environment in the event of mental stress or acute crises. 

In order to increase the effectiveness of the programme, it was necessary to improve the processes associated with the website. Pro Mente Sana was therefore specifically looking for a specialist who could implement this project. This is where we at W4 came in.

INEFFICIENT USE OF RESOURCES DUE TO MANUAL PROCESSING

Pro Mente Sana faced considerable challenges, particularly with regard to its complex sales processes. The majority of processes were based on manual and telephone interactions. These analogue work processes resulted in a high workload and left little room for scalability or flexibility.

The need for comprehensive automation of these processes was obvious in order to improve efficiency and allow employees to focus on the more qualitative aspects of their work. A solution needed to be found that not only reduced manual tasks but also ensured smooth, error-free management of customer interactions.

1. HubSpot forms: We developed a special form that was embedded on the website, listing all available courses. This allowed for easy and direct enrolment, making the process much simpler for prospective customers.

2. Automated sales emails and workflows: From initial contact to closing a deal, we developed automated email marketing campaigns and workflows that ensured every step in the customer lifecycle was handled efficiently. These workflows were of course linked to the Hubspot forms.

3. Meeting booking function and calendar integration: We integrated a form on the website for booking consultations. Possible time slots are automatically synchronised with a linked calendar so that no double bookings of appointments are possible, which offers the greatest possible efficiency of the fully automated process.

4. Integration of eSignature: To simplify contract processing, we integrated fully automated eSignature solutions for contracts with instructors and partners. This contributed significantly to reducing the administrative burden.

THE RESULT: MORE TIME FOR MORE COURSES

The implementation of HubSpot solutions by W4 has profoundly changed Pro Mente Sana and led to noticeable improvements. 

The automation of sales processes significantly reduced the need for manual intervention, giving the Pro Mente Sana team more time to focus on core activities such as counselling, sales promotion and course delivery. These more efficient processes not only improved the user experience by making it easier for participants to register for courses and book counselling sessions, but also increased overall satisfaction.
